Client Onboarding Without the Manual Handoffs

Onboarding is where a new client forms their opinion of how you operate — and where most professional firms leak the most hours. The work itself is not complex. The cost comes from collecting the same information more than once, handing work between people by hand, and answering status questions one at a time.

The three costs to remove

  • Repeated collection. Details captured in the sales conversation, then asked for again on a form, then asked for a third time by whoever does the work.
  • Manual handoffs. Work moving between people by email or verbal instruction, with no shared record of what is done and what remains.
  • Status chasing. Clients asking where things stand because nobody told them, and staff asking each other the same.

A redesign that holds up

  • Write the actual sequence down. Every step from signed engagement to first delivered work, with who does it and how long it takes. Most firms discover here that there are two or three undocumented steps only one person knows.
  • Collect once, structured. One intake that captures everything downstream steps need, populated with what you already know from the sales conversation. Never ask for information you already have.
  • Make the handoff a record, not a message. A shared checklist per client where status is visible without asking anyone.
  • Pre-empt the status question. Tell the client at the start what happens when, then confirm each milestone as it completes. This eliminates most inbound interruption.
